Job Description:

Animal Clinic of Rapid City & Emergency Veterinary Hospital in Rapid City South Dakota is seeking a highly motivated individual to join our team as the Assistant Hospital Manager.

This quickly growing practice has goals of becoming a state of the art facility and is already providing compassionate care for both general practice and emergency medicine in the Rapid City & Black Hills area. This practice is looking for a special person to join the highly motivated team, to not only focus on the client-patient experience but also ensure the wellbeing of our large, family-like group of employees. The ideal candidate will strive to deliver individualized care with exceptional customer service while providing support to a demanding and face-paced workload.

Job Summary:

The Assistant Hospital Manager works alongside the Hospital Manager and Managing Veterinarian to lead the day-to-day business operations. This position spends part of their time working on the floor, amongst the team, and part of their time preforming business management tasks. Experience working in a Veterinary or Medical Office is preferred. This is growth-orientated position, provides opportunities for continuing education and career advancement.

Job Responsibilities:

Leadership and Planning

  • Acts as a champion for change, works with the Hospital Manager and Managing DVM to create documents, share ideas, promote best practices and driving innovative programs in the hospital
  • Participate in the planning and budgeting process for the hospital
  • Helps establish goals for the practice and staff
  • Helps create the hospital schedule and manages labor costs to budget
  • Assists when needed throughout the hospital in various roles – performing other duties essential to the performance of the hospital

Operations

  • Demonstrates full working knowledge of Practice Management Software (Avimark) procedures and functional applications
  • Monitors computer systems and works with the HelpDesk to resolve technical and equipment issues
  • Understanding of staff benefits program
  • Assists with preforming quality control checks and review of client files

People Management

  • Partners with the Managing Veterinarian and Hospital manager to address and listen to staff needs
  • Assists with hiring, training, reviewing and disciplining staff
  • Helps with implementation of performance based incentive, rewards and recognition programs
  • Manages staff – insuring that appropriate licensure for staff is up to date

Client Service

  • Demonstrates and reinforces the highest level of client service
  • Perform CSR responsibilities such as greeting clients, scheduling appointments and completing the check in and check out process
  • Helps in resolving client issues and escalations and oversees client follow up communication
  • Drives client visits through strategic client communication and local marketing efforts
  • Understands client service initiatives and uses client visit growth best practices

Financial

  • Assists with payroll – ensuring that it is completed accurately and submitted for hospital staff
  • Manages accounts receivable, cash on hand, payment of bills and invoicing of clients
  • Understands the importance of managing hospital inventory and controlling facility and administrative costs

Job Qualifications:

  • 1-3 years of customer service experience – 1-3 years of leadership experience preferred
  • Experience in a hospital or veterinary setting in positions of increased responsibility is a plus
  • Problem solving and conflict resolution skills
  • Strong oral and written communication skills
  • Strong interpersonal skills with staff and clients – works well in a team environment
  • Strong knowledge of MS Office Suite including: Outlook, Word and Excel
  • Ability to function as a team member and leader in a fast paced and stressful environment
