SUMMARY: Responsible for processing and preparing, in a timely and accurate manner, billing related documents for both Domestic & Export loads. This includes, but is not limited to, bills of lading, customer manifests, customer order information, export documentation and any other documentation requirements. This position is chiefly responsible for ensuring that the Company’s customers are billed and invoices for the correct product, correct quantity and correct weight.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Perform daily and weekly activities to ensure the accurate and timely billing of all product shipments leaving the Company facility.
• Ensure that each load leaving the plant has complete and accurate supporting documentation. All information must be contained in a single, organized billing package, which is retained and electronically scanned by billing and provided to traffic for recordkeeping and for the truck driver.
• Learn all duties of & assist Export Clerk during peak periods and out of office times.
• Maintain a regular spreadsheet log of shipments to outside freezers and of spacers shipped/received to/from outside freezers. These reports are used by management for reporting exceptions regarding outside freezers accordingly.
• Maintain proper and clear copies of all load and billing records and scanning them electronically to PDF files to the appropriate folder or folders on the Company’s shared network drive.
• Prepare invoices for bulk heparin and casings shipments.
• Perform self-review of work product(s) to ensure accuracy in billing & export documents before each load leaves the plant.
• Possess organizational skills and the capability of keeping documents separate and properly maintained for each load.
• Develop a collaborative working relationship built on mutual trust with peers, shipping/manifestors/traffic/load controllers, management and other personnel to maintain good rapport in order to successfully accomplish the functions and responsibilities of this position.

QUALIFICATION REQUIREMENTS:

• Knowledge of Shipping, receiving and inventory activities and functions.
• Knowledge of Billing/Invoicing activities and functions.
• Possesses effective verbal and written communication skills.
• Proficient computer skills, especially programs relating to the management documentation & files.
• Excellent math skills.
• Ability to work across all departments connected to warehouse.
• Ability to analyze and solve problems.
• Ability to prepare routine documentation and reports.
• Team player - Lead by example.

EDUCATION and/or EXPERIENCE: High School diploma/GED. 1 year of experience that is directly related to the duties and responsibilities specified above.
COMMUNICATION SKILLS: Must have excellent written and verbal communication skills. Ability to think, communicate in a fast-paced environment. Must be able to effectively communicate with maintenance, production and management personnel.
LANGUAGE SKILLS: Ability to read and interpret documents in the English language such as safety rules, operating and maintenance instructions and procedures manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the company.
MATHEMATICAL SKILLS: Ability to apply mathematical applications to practical situations. Demonstrated ability to understand advanced statistics and statistical analysis for process control.
REASONING ABILITY: Strong analytical skills. Ability to apply common sense understanding to carry out a variety of instructions furnished in written, oral or schedule form.
OTHER SKILLS AND ABILITIES: Ability to use computers and all standard programs used by the industry and the ability to learn and effectively use any and all other computer programs that are or will be made available. Must be highly skilled in the use of powered industrial equipment, RF scanners, best warehouse practices & inventory control. Must be an effective teacher/trainer exhibiting patience and dedication; exhibit good attendance and safety practices; able to deal with stressful situations calmly and exhibit good judgement; have good time management skills.
PHYSICAL DEMANDS: While performing the duties of this job, the employee will be required to move about the facility. The employee is frequently required to stand; walk; use hands to finger; handle; or feel/hold objects; reach with hands and arms; stoop, kneel, crouch, or crawl; speak; hear taste and smell. The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 80 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception, and the ability to adjust focus. Must be able to climb ladders.
WORK ENVIRONMENT: While performing the duties of this job, the employee is regularly exposed to cold/hot and/or humid conditions. The employee frequently works near moving mechanical parts. The employee is occasionally exposed to fumes or airborne particles, cold/hot temperature and vibration. The noise level in the work environment is sometimes loud. The work environment includes climate extremes found in all areas of plant operations. Will work in close proximity to other employees working with knives; cramped spaces and in poor lighting and ventilation.
NORMAL WORK SCHEDULE: The hours and days of work are established as needed by operations and at the discretion of management and may be changed (increased or decreased) by management as required.
