This is a Full-time, Non-Exempt position is based on a 40-hour work week with an hourly range of $18.27-$22.85. This position is part of the Public Employees Union (PEU) collective bargaining agreement. The individual in this position will work at Leisure Services Beach Complex located at 10 South Ocean Blvd, Lake Worth Beach, FL 33460.

SUMMARY:

This position is responsible for the coordination, implementation, marketing and promotion of all City Special Events and Casino Building Ballroom rentals, events, and recreational programs. Employee must be committed to the City’s vision of creating a community where everyone participates in community experiences that engage, inspire and enrich lives. Candidates must demonstrate a successful track record in event planning, marketing, sponsorships, as well as proven abilities in public/media relations, graphic design/publishing, staff/volunteer/contractor management, and budget accountability. The successful candidate is at ease working in partnership with other team members in a high volume, fast-paced environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Tour the clients of the facilities, explaining the different ceremony options and Rules/Regulations of the Casino Ballroom.
  • Assists in the coordination, planning, and implementation of existing City-wide special events, including but not limited to: Holiday Parade, Veterans Parade, Daddy Daughter Date Night, Easter Egg Hunt Celebration, and 4th of July Celebration.
  • Handle daily phone calls and e-mails.
  • Responsible for set up for events including ceremony set up, ballroom set up as well as ensures that kitchen and restrooms are ready for client use. Implements the designing of floor plans and set-ups for ballroom rentals.
  • Oversee event breakdown and that guests vacate the premises safely at the end of the event.
  • Participates in the formulation of facility use and other agency policies.
  • Coordinates all aspects of pre-rental concerns such as scheduling with performers, caterers, decorators, bands, sponsors, facilitators of seminars and other pertinent contracts relating to lease.
  • Assist in New Business Development, including space reservations for trade show booths.
  • Provides oversight and Maintenance yearly Casino Ballroom scheduling calendar.
  • Receives reviews, prepares and/or submits a variety of documents such as contracts, purchase requisitions, grants, schedules, newsletters, press releases, budget requests, program information sheets, correspondence, etc. for approval by immediate supervisor.
  • May schedule and oversee the performance of part-time, volunteer and temporary staff during the execution of an event.
  • Assists in the development of brochures and flyers. Compiles information and articles for various publications.
  • Verifies reservations by letter and/or prepares sales contract to obtain signatures.
  • Determines, recommends and obtains necessary levels of support needed from other departments, including Police, Leisure Services, Public Services and Administration. Acts as special events liaison with other City departments and external agencies to facilitate successful and quality events at the Casino Building.
  • Conducts evaluation of event with lessee by telephone or in person as well as in writing after the conclusion of each venue.
  • Performs other duties as assigned.

JOB STANDARDS:

An employee in this class is responsible for the execution and implementation of all Casino Building activities and events. Promotes public interest and participation in Lake Worth Beach Complex Casino Ballroom as well as Complex activities. The work is performed according to the practices and procedures of the Leisure Services Department and the City of Lake Worth Beach.


EDUCATION AND EXPERIENCE:

Equivalent of this position requires a minimum of an Associate’s Degree in Event Planning, Marketing, Business, Recreation, or a related field or an equivalent combination of education, training, and experience that provides the required knowledge, skills and abilities. Minimum of two (2) years of implementing, coordinating, and managing special events in a facility setting. Proficiency with Microsoft Office a must. Experience with program and event flyer creation required. Must possess and maintain a valid state of Florida driver’s license.
