Scope of Position:
Under the supervision of the Archivist, the Assistant Archivist is responsible for the acquisition and accession, arrangement and description, and preservation of analog and digital museum archives and special collections. The Assistant Archivist will collaborate with the Archivist on reference services and special projects to promote the accessibility of the archival collections and efficiency of the department.
Duties and Responsibilities:

  • Arrange and describe analog and digital archival collections in accordance with accepted standards and local practice using ArchivesSpace
  • Facilitate departmental records transfers; appraise and accession collections in accordance with accepted standards and local practice
  • Coordinate the transfer of digital media assets (image, audiovisual, PDF) to the museum’s Digital Asset Management System and catalog/assign appropriate metadata to support discovery, use and preservation
  • Perform essential collections management and preservation work, including rehousing collections, removing fasteners, preservation copying, stack maintenance, shifting collections, and verifying and updating container and location information in ArchivesSpace for physical collections; and digital preservation processes for electronic records and media assets
  • Assist Archivist with responding to internal and external reference requests, including digitization of relevant materials and overseeing onsite researchers
  • Assist Archivist in the administration of the museum’s records management program
  • Collaborates with Archivist on special projects and outreach activities
  • Assist with documentation of archives procedures in SharePoint
  • Maintain knowledge of current professional practices and trends as they apply to archives
  • Work effectively and creatively independently and as part of a team to achieve institutional and departmental goals
  • Implement and follow archives policies and procedures and assist in revising or developing new policies, procedures, and workflows
  • Adhere to museum policies and support management decisions in a positive and professional manner
  • Complete other duties as assigned

Requirements:

Education, Experience, and Certification: *

  • Masters degree in archives, library, information science or a related area of study that includes a concentration in archives
  • One year of experience working with archival collections required; experience with both analog and digital collections preferred
  • Knowledge of professional standards and best practices in processing archival collections and cataloging digital assets
  • Previous museum experience a plus

Key Qualifications:

  • Knowledge of best practices for digitizing archival materials (document, image, audiovisual); experience digitizing archival materials preferred
  • Experience with ArchivesSpace preferred
  • Understanding of and experience with digital asset management systems and metadata standards is a plus
  • Detail-oriented with strong organizational skills
  • Excellent oral, written and interpersonal communication skills
  • Strong computer skills and proficiency with commonly used Microsoft Office applications
  • Ability to problem solve and learn new systems or procedures for productive results
  • Ability to sit or stand for long periods of time, to lift boxes weighing 40 pounds, to climb and handle boxes on a mobile ladder, and push or pull a full records cart
  • Ability to represent the museum in a professional and courteous manner
