DESCRIPTION OF THE POSITION:
The Advancement Assistant will divide their time between Community Resources (Volunteer Program and In-Kind Giving) and Advancement (Private Fundraising). This will include providing assistance for all special events including fundraising events as well as volunteer events to support our various Hillsides' programs.

ESSENTIAL FUNCTIONS:

The essential functions include:
Community Resources:

  • Provide support to the Sr. Director of Community Resources assisting with all areas of the department including volunteer coordination, events, donations and acknowledgements
  • Maintain up-to-date records and database on all volunteers and community service groups
  • Liaise with program supervisors to gather on-going volunteer and in-kind needs
  • Coordinate disbursement of all in-kind items across all agency programs
  • Serve as liaison with volunteers and community groups helping with orientation, training, scheduling and oversight
  • Support in monitoring volunteer performance with attention to both the program issues and the volunteers needs
  • Coordinate the Holiday Donation Drive including Adopt-a-Family and Program Wish Lists
  • Represent the Community Resources Department on Hillsides committees and at agency meetings as well as related community service fairs and events
  • Conduct agency tours for volunteer and donor groups, as needed
  • Take photographs of volunteer events and activities and upload those to the online photo album

Advancement

  • Provide support to the Special Events Manager assisting with all aspects of special events as assigned. This will also include the oversight of the auction procurement - mailings, database management, and acknowledgements
  • Arrange for meetings including meeting packets, refreshments, room reservations and set-up/clean-up
  • Serve as department historian for staff meetings
  • Provide clerical support
  • Assist program managers with their special needs such as gathering banners, promotional items, collateral
  • Provide assistance to the Database Manager as needed
  • Run office errands as needed

EDUCATION, EXPERIENCE & CERTIFICATES

  • BA/BS degree and two years of work experience in related field
  • Outstanding written and oral communications abilities
  • Project management experience
  • Experience working closely and collaboratively with volunteers
  • General understanding of key areas of fundraising and agency operations
  • Valid California drivers license, driving record and personal vehicle insurance acceptable to Hillsides' insurance carrier

Hillsides practices Trauma Informed Care (TIC) principles which recognizes the signs, symptoms, and widespread impact of trauma; Employees are asked to comprehensively integrate knowledge of Trauma Informed Care into policies, procedures, and practices with the goal to prevent re-traumatization which promotes healing of families, youth, individuals, and communities.
