Department Summary
The Counseling Program at UNT Dallas prepares a multi-culturally competent counselor and a change agent who promotes wellness in children, adults, families, schools, and communities locally and worldwide. The Program offers two CACREP accredited master’s programs: school counseling and mental health counseling. Mentored by dedicated faculty with extensive experience as licensed practitioners and in research, our students undergo an authentic experiential and evidence-based training. Graduates of the UNTD Counseling program are dedicated leaders and advocates for diversity in the communities they serve.

Position Overview

The University of North Texas at Dallas invites applications for the position of Administrative Coordinator.

This is senior level responsible administrative office work. An employee in this class performs a variety of administrative support tasks that are non-routine and non-repetitive in nature, and require the use of considerable independent judgment and initiative. The individual is usually responsible for determining methods and procedures to be used, priority of assignments, and necessity for review by an administrator. Work includes public contact in interpreting and promoting the department’s programs and rendering administrative decisions. Work is performed under general supervision, with assignments typically reflecting continuing responsibility for designated activities. An employee in this class may supervise full-time and part-time employees.

Minimum Qualifications

Bachelor’s and one (1) year of related experience; or any equivalent combination of education, training, and experience



Knowledge, Skills and Abilities
  • Considerable knowledge of general office procedures and practices.
  • Knowledge of University policies and procedures related to the area of assignment.
  • Skill in making mathematical calculations and computations.
  • Ability to keep complex records; to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
  • Ability to establish and maintain good working relationships.
  • Ability to communicate effectively orally and in writing.
  • Ability to work without close supervision.
  • Knowledge of safe working procedures related to work performed.


Preferred Qualifications
The preferred candidate will possess the following additional qualifications:

  • Previous supervisory experience and/or verified supervisory training.

Job Duties

o

Work in collaboration with the Counseling Program Chair or Academic Dean to develop, schedule, and plans the processing of work for the Counseling Programs.


o

Coordinates the gathering of information and preparation of schedules, reports, and analyses of data and information regarding Counseling students in the counseling programs.


o

Maintains budget records for the counseling programs. Works in collaboration of the Executive Assistant to the Dean regarding counseling programs’ expenses.


o

Works in collaboration with the Counseling Program Chair to prepare correspondence, scheduling, and coordinating of new counseling students’ admission interviews and follow up.


o

Prepare correspondence, scheduling, and coordinating of new counseling students’ admission interviews and follow up. Maintains student records, administer student surveys, and processes all data, assessment information related to counseling students’ performance, and submits reports/records to the SOE as deemed necessary.


o

Maintains and updates all counseling information in the Dallas Shared Drive (e.g. School of Human Services Counseling Programs’ Files)


o

Performs secretarial functions for an administrator (e.g. Counseling, Program Chair the Counseling Program Coordinator or the Academic Dean). Coordinates the operations of a complex or large office.


o

Help develop oral and written interpretations of policies and procedures for counseling programs operation.


o

Work in collaboration with the Counseling Program Chair, Counseling Program Coordinator or the Academic Dean in preparation of annual budgets. Assists in accounting for funds expended and to be spent for supplies, equipment and personnel; preparing purchase orders and securing approval of invoices for equipment and supplies.


o

Works in collaboration with the Executive Assistant to the Academic Dean to prepare and submit travel vouchers for the Counseling Program Chair. Coordinates arrangements for conferences, programs, meetings, special events related to the counseling programs.


o

Works in collaboration with the Counseling Program Chair, and the Academic Dean to implement changes in policies and procedures. Observes safety and security precautions appropriate to work performed.


o

Provides administrative support for periodic and special projects (e.g. new student orientation, graduate student meetings, counseling faculty meetings, etc.).Organizes, assigns, trains, and supervises the work of student workers, counseling clinic volunteers.
