Job Summary:
The Administrative Coordinator provides administrative support to the hospital specific Hospitalist Program, medical director and hospitalist team. The Administrative Coordinator will maintain, and if necessary create, current efficient systems to handle routine duties, and provide outreach to community primary care physicians for expansion and growth of the hospital program and supports the hospital's goals.
Essential Functions:
Performs administrative services for the Hospitalist professional staff and the leadership staff that includes but is not limited to:
- Provides onboarding activities and orientation support to medical director and director for all new professional staff
- Assists in the staffing schedule of professional providers by maintain updated on-call schedule and requested changes
- Maintains and distributes daily patient census log for client hospitals primary care providers
- Assists in assuring good workflow for the professional staff
- Checks fax and email for lab results, delivers to professional staff and carries out instructions
- Distributes daily Hospitalist assignments
- Verifies accurate charge capture of all encounters into the charge capture system
- Provide reports to the medical director on daily operational metrics
- Work with both the HIM department and Administration to ensure hospitalist providers are compliant with documentation requirements so as not to delay Facility and Professional billing
- Work with scribes to ensure timely chart completion, billing and notification to the primary care physician
- Work with Coding and Billing teams to follow up with HM Providers on incomplete reports and provider clarification and follow up if necessary
- Coordinates all meeting logistics to include but not limited to AV, event planning, food, supplies, clean-up, and facilities
- Communicates and responds to emails, telephone calls, faxes, mail, and meeting notifications
- Schedules and coordinates Medical Directors' appointments with other staff providers, corporate office personnel, Hospital personnel, vendors and others as required
- Gathers, collects, monitors and tracks performance metrics of practice core measures, etc.
Community Liaison Responsibilities:
- Works and communicates with the site Directors on a weekly basis to identify primary care physician (PCP) and medical group opportunities to increase referrals to the hospital
- Prepares "talking point'', PowerPoint presentations and brochures with the medical directors to deliver to PCP's and their office staff
- Visits and educates primary care physician office staff regarding hospitalist service line offering and work to enhance communication processes between their office and hospitalist program
- Maintains and updates on a daily basis the profiles of current PCP referrals and targeted PCPs and enter them in a Hospitalist Primary Care Physician database and the charge capture database
- Prepares monthly reports on PCP office visits and profile progress for outreach efforts
- Identifies, proposes, develops and implements new processes to improve operational, efficient, staff communication
- Develops and implements innovations with the director to achieve exceptional patient satisfaction outcomes
- Prepares spreadsheets, PowerPoint presentations and reports; required to report outcomes of the program to the senior management team and the hospital c-suite.
- Creates policies and systems to generate information to populate hospitalist dashboards and balanced reports
Job Requirements:
- High School Diploma or GED required within one (1) year of hire. Candidates who do not possess a High School Diploma or GED equivalent at time of hire will be provided the opportunity to enroll in a GED/HSEA program as a condition of employment. New hires will be provided one (1) year from date of hire to successfully complete a GED program and obtain their HSEA. *
- College degree preferred
- Able to work relatively independently with limited direct supervision
- Detail oriented with proven ability to work effectively under conditions requiring accuracy
- Courteous and professional demeanor with strong interpersonal and verbal and written communication skills
- Excellent grammar, editing and proofreading skills
- Internet and computer proficiency with Microsoft Office products (Outlook, Microsoft Calendar, Word, Excel, and PowerPoint)
- Appointment setting (initial phone call and Calendar invite with copy to medical director and director of hospitalist programs)
