Job description
The Administrative Coordinator provides administrative and logistical support to the Translational Dental Medicine department (2 days/week) and the Office of the Associate Dean for Research (3 days/week), both within Boston University's School of Dental Medicine. The responsibilities for this position include ordering supplies, reconciling expenses, scheduling meetings, assisting with event planning, and handling faculty and guest travel and reimbursement. The Administrative Coordinator reports to the Administrative Manager (TDM) and the Associate Director (Research) and may be assigned other duties as needed.
Other responsibilities for this position include:
- Scheduling and planning events such as the Head & Neck Cancer Symposium, Science Day, Research Committee meetings, and department meetings
- Determining and booking appropriate meeting locations and liaising with presenters about presentation material and travel requirements
- Promoting events as appropriate
- Overseeing meeting logistics including set-up and catering, and completing appropriate post-event follow-up
- Scheduling, setting up, and recording minutes for other meetings and committees as required.
- Ordering supplies and tracking purchases
- Monitoring and renewing equipment contracts
- Communicating with faculty and lab staff about supply needs and liaising with vendors as needed.
- Answering and directing phone and email inquiries
- Communicating with faculty, staff and student’s university-wide and with outside collaborators by both proactively disseminating research information and responding to queries and monitoring and updating the website as needed.
- Providing other administrative and logistical support as required

This position requires a minimum of an Assoc/Voc/Tech Degree, with a Bachelor’s Degree preferred, and 1-3 years of relevant work experience.

Pay: $42,000.00 - $45,000.00 per year
