Job Summary
Paradise Valley Community College (PVCC) is seeking an Administrative Coordinator for Administrative Services. The Administrative Coordinator provides overall administrative, event planning, and programmatic level support to the Paradise Valley Community College administrative services division. Reporting directly to the Vice President of Administrative Services and Associate Dean of Administrative Services, this position will promote a culture of collaborative and cooperative positive-working relationships with administrative services and across the college. The Administrative Coordinator supports the budget needs, program, event/rental planning, and administrative functions for all departments within the Division of Administrative Services. The person in this position must be flexible in serving the unique needs of each of the departments. The Administrative Coordinator will also demonstrate a dedication to putting students first and a commitment to serving diverse and nontraditional college students, faculty, and staff.

Essential Functions
50% Coordinates and provides direct executive level administrative support to the Vice President and Associate Dean of Administrative Services and 5 program areas of Administrative Services. Assists with guidance, oversight and administration of administrative areas including facility rentals, purchasing orders, budget to include tracking the
implementation, completion, and budget management for the projects within the assigned areas; manages pro-card and budget reconciliation for the Division of Administrative Services; assists with development and implementation of division guidelines, forms, policies, and procedures as part of initiatives; maintains and updates databases;coordinates and provides transactional support related to division operations; works with sensitive and confidential information. Daily coordinate schedules and calendars, travel arrangements, registration, program, and project coordination, for Vice President and Associate Dean of Administrative Services as assigned.
20% Creates financial/analytical reports, presentations, documents, and process flow charts related to the operations and initiatives; works in the online financial management system for procurement, coordinating travel, etc., and other fiscal related duties; as well as works in the online contract management system
20% Prepares and submits complex reports and correspondence to various executive levels, Presidents, district and legal personnel, community members, and vendors. Handles intake of complaints and concerns. Review and screen incoming reports for assignment and distribution, identify reports for sense of urgency and/or escalation, offer
recommendations or referrals when necessary. Work alongside the Vice President and Associate Dean collaboratively on reports/cases to completion.
10% Serves as a liaison with students and faculty; develops partnerships and provides collaboration on program initiatives and serves on committees as a representative of Administrative Services. Prepare agendas, schedule meetings, prepare minutes, maintain distribution lists, maintain Google Drives.
Minimum Qualifications
Associate’s Degree from a regionally accredited institution and three years of advanced administrative office support, secretarial, or related experience providing office coordination activities, preferably involving executive level staff.
OR
An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.
Desired Qualifications
1. Five (5) or more years experience as an administrative assistant or office manager preferably in higher education.
2. Five (5) or more years advanced experience with Microsoft (i.e. Word, Excel, PowerPoint), Google Suite/Drive (i.e. docs, sheets, slides, calendars) and graphic programs (i.e photoshop, illustrator).
3. Five (5) or more years of experience monitoring departmental budgets, creating requisitions and expenditures, and ordering supplies.
4. Five (5) or more years of experience with advanced administrative skills such as: maintain calendars, schedule meetings, coordinate travel arrangements for administrators. Possesses exemplary written skills.
5. Demonstrated skills in organizing large scale events, planning and use of time management, and communication skills.
6. Demonstrated skills in conflict resolution, diplomacy, tact and the ability to manage confidential student/employee information with discretion, collaborative work style with faculty, staff and students.
