Duties and Responsibilities
  • Responsible for daily operations and administrative duties related to Quinlan’s undergraduate programs.
  • Provides front desk support for the undergraduate programs dean’s office, including: associate dean, assistant dean, three academic advisors and student engagement associate director.
  • Maintains electronic student files, responds to all phone calls and walk-in questions from students, faculty and staff.
  • Coordinates appointment scheduling for students referred to Quinlan School of Business.
  • Prepares correspondence to students, i.e. Dean’s list, internal transfers, academic status issues, etc.
  • Supports the US/Europe Double Degree students with navigating university resources.
  • Coordinates new and part-time faculty orientation two times a year.
  • Coordinates writing intensive workshops as needed.
  • Supports the associate director of student engagement as needed.
  • Assist in the planning and execution of logistics for routine programs, special events and meetings, including: preparing material, scheduling and arranging meeting/event space and catering.
  • Process invoices, payments, mail and shipments and monthly procard statements
  • Maintain office supplies and troubleshoot issues related to office equipment
  • Provide general administrative support to undergraduate deans, and academic advisors.
  • Act as liaison to vendors.
  • Assist with student registration as needed.
  • Coordinates graduation applications and timely communication of graduation audits and status.
  • Use LOCUS student information system, docfinity and other software to maintain student files.
  • Assists finance /operations team with accounts payable requests as needed.
  • Other duties as assigned.


Minimum Education and/or Work Experience
High school diploma or equivalent and one to three years of relevant experience; some positions may require additional experience.

Qualifications
Some college required; bachelor’s degree strongly preferred. Three to five years of relevant experience in an office setting, some supervisory experience preferred. Equivalent combination of education and experience may be considered.

Computer Skills
Intermediate MS Word processing, MS Excel or Spreadsheets, MS PowerPoint, MS Publisher and MS Access or Database Software. Adept user of Internet, e-mail and other office automation systems.

Ability to learn LOCUS student information system and other software to assist with student files.
