Describe the primary purpose and function of this job.

Provide administrative support to the Depot Management

Key Duties & Responsibilities

List key duties and responsibilities for this position. *Authority Level **% of Time

1. Process all payables for the depot. Create, receive, make corrections to, update and balance Purchase Orders. Manage taxes for all purchases. Manage payment accruals for month end closing.

2. Responsible for managing vendor invoices, researching disputed invoices and working closely with Manilla office to resolve payment issues.

3. Create and maintain reports for invoicing, operations, and month end closing.

4. Maintain daily attendance records in Etime for depot staff. Create and maintain attendance record reports as needed.

5. Type estimates and create invoices as needed by Depot Management.

Qualifications

- Education

• College coursework in accounting desirable or high school diploma with equivalent bookkeeper experience.

- Experience

• Minimum five years’ experience in diversified, heavy volume accounts payable.

• Strong Accounts receivable / collections experience required.

- Specific Skills

• Ability to operate heavy computerized accounts payable and purchasing system.

• Basic spreadsheet experience desirable with knowledge of formulas and charts.

• Proficient in Microsoft Office Software.

• Excellent verbal and written communication skills.

• The ability to meet deadlines, promote cost savings and make recommendations for system improvements as needed.

• Strong Customer and Vendor relations.

• The ability to work with others in a heavy volume office under strict deadlines.

• 10 key typing.

• Very organized and able to utilize time efficiently.

• Some overtime as required.
