Job Description
The full-time Administrative Assistant provides support to Professional Development Services (PDS), reports directly to the Director of PDS and also provides support to the Director of the Telego Center. This is a 30-hour, hybrid position that is eligible for full-time benefits. Hours will primarily be on campus in Ashland, Ohio, with an option for remote work up to 8 hours a week.
  • Completes administrative office and clerical work and serves as a resource person for individuals interested in Professional Learning, Workforce Development and Telego Center projects at Ashland University.
  • Demonstrates necessary human relations skills in order to maintain a friendly, helpful atmosphere working with instructors, students, school-district personnel and employers.
  • Responds daily to e-mail communications and phone calls.
  • Maintains current, organized and accurate records.
  • Prepares, forwards and tracks agreement forms to school districts, consultants and vendors.
  • Assigns and maintains class numbering system and database; enters registrations into computer system; creates and updates the class schedule on the web page.
  • Processes and tracks credit/debit card and check payments for supplemental contracts.
  • Maintains files on grade sheets, syllabi, and contracts.
  • Prepares reports under the direction of the Director.
  • Maintains sufficient office supplies/forms for PDS.
  • Prepares regular mailings to superintendents, curriculum directors, adjuncts, and others for PDS via US Mail and e-mail.
  • Performs other duties requested by the directors.

Required Qualifications
  • Minimum of a high school diploma
  • Associates degree preferred

Preferred Qualifications
  • Experience as an Administrative Assistant in a university or school setting desired.
  • Associates Degree or BA Degree in an associated field of education

Physical Demands
  • An eight-hour work day with some flexible scheduling
  • Subject to frequent interruptions
  • Extensive use of computer and keyboard
  • Physical condition necessary for sitting for prolonged periods of time
  • Visual acuity to review written documents
  • Ability to hear and understand speech in face-to-face contact and on the phone
  • Manual dexterity to operate telephone and keyboard
  • Occasionally assist with classroom set-up (rearranging tables and chair, technology, etc.)
  • Ability to lift file storage boxes
