We are seeking an Administrative Assistant to join our Marketing Team!
The Marketing Administrative Assistant will provide high-level administrative support to the Marketing Team via a variety of administrative tasks in the utmost professional and discrete manner. Individual will work in a fast paced environment and be required to multi-task and prioritize. Administrative Assistant will conduct research, prepare reports, handle information requests, and perform administrative functions such as preparing correspondence, calendar management, meeting coordination, taking meeting minutes and special projects as assigned.
Responsibilities:
- Set up New Producers in the First Chicago, United Security, and Texas Ranger's Systems.
- Send welcome emails to producer with login instructions.
- Taking data from one system and formatting to be loaded into another a new rating system.
- Prepare and send welcome packets to New Producers.
- Respond to incoming Marketing calls: address changes, password reset, general help quoting &/or issuing new business.
- Conduct research, compile data, and prepare reports for consideration and presentation by executives and committees.
- Attend meetings and record minutes.
- Compile, transcribe, and distribute minutes of meetings.
- Outlook calendar management.
- Prepare agendas and make meeting arrangements, such as coordinating catering for luncheons.
- Prepare reports, memos, letters, and other documents, using Microsoft Office.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
- Other duties as assigned.
Required Skills/Experience
- 2-4 years administrative experience
- Strong Proficiency with Outlook and Microsoft Office Word, Excel and PowerPoint
- Strong interpersonal skills
- Exceptional oral and written communication skills
- Ability to work independently on multiple tasks
- Strong attention to detail
Desired Experience
- Knowledge of Insurance industry
