Position Summary
The Administrative Assistant I/II serves as a liaison for the Associate Vice President of Learning and Academic Affairs (AVP) and members of the college community, including faculty, students, and staff. The Administrative Assistant II is responsible for providing administrative and secretarial support to the AVP as required, for supporting orderly and efficient operations and maintaining the integrity of institutional information.

Job Duties and Responsibilities
Process and track all cases involving academic integrity, including those of dishonesty that require involvement of the hearing board of the Academic Integrity Review Committee and schedule hearings as necessary. Serve as the liaison between the student and college. Provide intake for student questions and retrieve student record information from Colleague as requested.
Manage requests for special term contracts. Create, track, and maintain special term contracts; authorize instructional coordinators to initiate as appropriate. Assist the departments of Human Resources and Finance, as well as instructional coordinators in the processing of special term contracts.
Support the AVP with new initiatives, including but not limited to all adjunct faculty promotions, transcript submissions, document updates and full-time faculty evaluations. This includes note taking, preparing minutes, meeting scheduling and other communications.
Maintain and oversee the AVP operating budget. Work with the Budget Office to ensure adequate funds are
available.
Manage and track all requests for tuition assistance, professional development, and equated credits. Ensure that all supporting documentation has been submitted. Maintain a balanced budget for tuition requests and professional development funds.
Assist the AVP with handling and managing requests for overload authorizations. Draft appropriate communication letters and inputting Distinguished Senior Lecturer (DSL) and Emeritus status into Colleague.
Serve as backup support for when the Coordinator, Curriculum and Academic Affairs is out of the office or any other time as needed. Provide administrative and secretarial support to the AVP, including composing, and editing correspondence, reports and other documents as requested. Other duties as assigned by the AVP.
Required Qualifications:
High School Diploma or equivalent required.
Level I: 5 years of relevant experience.
Level II: 7 years of relevant experience.
Comprehensive knowledge and skills with computer applications at a basic to intermediate level including MS Office (Word, Excel, PowerPoint, Outlook), databases, and the College information management system for queries.
Strong and comprehensive oral, written, and interpersonal skills and the ability to deal effectively with multiple constituencies, including composing, grammar, spelling, punctuation, editing, and proofreading skills.
Demonstrated effective customer service and conflict resolution skills.
Demonstrated ability to exercise initiative in performing assigned duties and responsibilities; ability to work independently with attention to detail and deadlines required.
Demonstrated effectiveness in working as a team member.
Preferred Qualifications:
Associates degree
Experience in higher education.
Ability to deal effectively and tactfully with students, faculty, staff, administrators, government agencies, community organizations, and the general public.
