General Statement of Duties
The Administrative Assistant I maintains files and records; answer telephones; prepare and mail outgoing correspondence or parcels; prepare correspondence, forms, files, and reports for processing, storage, or forwarding; answer inquiries; operate standard office machines and equipment; and perform related work as required. Position serves as the administrative center for the Department of Adult Education.
Responsibilities

  • Manage all data associated with the MWCC Department of Adult Education within both the LACES statewide Adult Education database and the Mount Wachusett Community College Banner Student Information System;
  • Process invoices and billing for grants and contracts managed through the Department of Adult Education;
  • Provides administrative support to the Department of Adult Education, including but not limited to processing invoices, billing, and purchase requests through the Department of Adult Education.;
  • Create and oversee noncredit course CRNs requested by the Department of Adult Education in accordance with policies and procedures established by the Division of Lifelong Learning and Workforce Development and Mount Wachusett Community College;
  • Input, edit and manage CRNs established for the Department of Adult Education.
  • Collaborate with division staff to support the management of data quality for state reporting of noncredit enrollments within the Department of Adult Education by subject code, course attribute, term and academic year;
  • Serve as the primary point of contact for the Department of Adult Education, facilitating communication between programs operated throughout the Division of Lifelong Learning and Workforce Development and other MWCC divisional offices, supporting the efficient completion of administrative tasks ranging from scheduling and coordination to invoicing and purchasing;
  • Support the administrative tasks of the Director of Adult Education as assigned including time and attendance review, office support, and event registrations;
  • Other duties as assigned.

Job Requirements:**
Minimum Qualifications:*
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.*
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*

  • Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

**An appointment made from outside the bargaining unit must be made at step one ($47,338.98) of the salary range.
