Department Information
The Criminal Division handles the prosecution of petty offenses and misdemeanors occurring in the City. The mission of our Criminal Division is to enhance public safety and to achieve justice through the effective prosecution of municipal offenses. .

The City Attorney's Office is seeking a skilled Administrative Assistant performs receptionist and public contact duties together with a variety of moderately complex clerical and public contact duties while providing administrative support for the City Attorney's Office.

PRIMARY DUTIES & RESPONSIBILITIES

  • Serves as a receptionist, responding to general or routine inquiries
  • Prepares, reviews, proofs and processes documents
  • Composes and types routine correspondence
  • Develops and maintains a variety of filing and record keeping systems
  • Prepares and types a variety of materials including reports, statistical data, documents, and manuals
  • Operates a variety of office equipment including personal computers and related software
  • Schedules and maintains activity calendars
  • Performs additional duties as assigned

MINIMUM QUALIFICATIONS

Education:

  • High School Diploma or GED

Experience:
  • One (1) year of clerical experience cashiering and clerical experience including customer service background handling complaint calls

An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.


Knowledge:

  • Knowledge of Business English and math
  • Knowledge of basic office practices and procedures
  • Personal computers and word processing software applications


Abilities:

  • To establish and maintain effective working relationships with employees, citizens and elected officials
  • To maintain effective working relationships with individuals who encompass different or difficult personalities
  • Handle sensitive situations with tact and diplomacy
  • Communicate effectively both verbally and in writing
  • Multi-task and prioritize work while effectively managing multiple projects with deadlines
  • Ability to retain events and communications had that occurred throughout the day in order to record and gather the information for proper documentation
  • Ability to work well in a fast-paced environment with constant interruptions by callers, visitors and colleagues
  • Ability to adapt to a rapidly changing environment while learning new skills
  • Ability to absorb multiple situations and people


Skills:

  • The use of personal computers and related software (Microsoft Office, Court programs and Westlaw)
  • Typing of approximately 40 net words per minute

WORKING CONDITIONS

Physical Demands:

  • Occasional walking and standing
  • Frequent hand/eye coordination to operate computer keyboard and office equipment
  • Vision sufficient to read computer screens, reports, and related department documents
  • Dexterity to operate computer keyboards and other related office equipment
  • Endurance sufficient to sit and work at a computer for extended periods of time
  • Frequent speech communication and hearing to maintain communication with employees and citizens
  • Cognitive ability to multi-task consistently
  • Emotional intelligence to deal with people in a challenging front facing customer service role

Work Environment:
  • Works primarily in a clean, comfortable environment; occasionally works nights and weekends

Equipment Used:
  • Frequently answers telephone; frequently uses standard office equipment including typewriters, computers, calculators and copy/fax machines
  • This position may require occasional use of personal equipment (e.g. vehicle, cell phone, tools, etc.)

Essential Personnel : When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel.
