The ideal candidate will be experienced in handling a range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be well organized, flexible and enjoy the administrative challenges of supporting a dynamic office of diverse people and programs. Experience in supporting international business, especially China and Hong Kong is highly preferred. Primary reporting structure to CEO with additional assistance to his leadership team.

The successful candidate will have the ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality. Expert level written and verbal communication skills, strong decision making ability and attention to detail are crucial.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provides a high level of confidential administrative support.
  • Coordinate and assist with executive management meetings, conferences, conference calls and other types of meetings.
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
  • Be responsible for calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings.
  • Coordinate both national and international travel. Make flight, hotel and car rental reservations in accordance with company policies. Create travel itinerary and schedules in accordance with authorized travel requests.
  • Assist with signature page coordination, posting documents and filing for project sales
  • Be responsible for payment of all department vendors, including entering purchase orders, charging expenses to accounts and cost codes, obtain payment approvals, preparing payment requests, and corresponding with vendors.
  • Must be familiar with a variety of administrative concepts, practices and procedures.
  • Proficient in using word processing, basic spreadsheets, basic PowerPoint, electronic mail, and document transfer systems.
  • Prepare and modify a broad scope of confidential and complex documents and correspondence.
  • Communicate and handle incoming and outgoing electronic communications on behalf of departmental leaders.
  • Modify and update reports and graphics by compiling data from various sources for presentations, monthly review meetings, and other presentations as requested.
  • Responsible for review and completion of departmental expense reports.
  • Demonstrates high ethical and professional standards with all business contacts.

QUALIFICATIONS

  • Must be bilingual in Mandarin/English.
  • Minimum 3+ years administrative experience required.
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
  • Excellent time management skills, including the coordination of complex executive meetings.
  • Experience successfully streamlining and simplifying processes.
  • Must be detail oriented with the ability to multi-task.
  • Superior verbal and written communication skills and the ability to work well with people are essential.
  • Demonstrated strong attention to detail.
  • Positive attitude, work well with all types of people.

WORKING CONDITIONS

The job is performed indoors in a traditional office setting. Activities include extended periods of sitting occasional fast paced events and extensive work at a computer monitor and/or calculator.

Hearing, vision and speaking within normal ranges is essential for normal conversations, to receive ordinary information and to prepare or inspect documents. No heavy lifting is expected. Exertion of up to 10 lbs. of force occasionally may be required. Good manual dexterity for the use of common office equipment such as computer terminals, calculator, copiers, and FAX machines.

Good reasoning ability is important. Able to understand and utilize management reports, memos and other documents to conduct business.

Pay: $19.23 - $26.44 per hour
