Under general supervision provides administrative support to senior level managements for the Physics and Aviation Department and managing both offices which requires high skilled nature related operations, functions, and activities for both areas. Reports to Executive Director of Aviation.
Essential Duties Summary
- Provides administrative support to department executive director in Aviation. Providing highly skilled and complex administrative assistant and coordinate overall office duties: Travel, type reports, Timesheet, type and send correspondents, receive and make phone calls, maintained calendar and send reminders, information dissemination, liaison between students and department director and chair, set/cancel appointments, Banner assistance, Input department class schedule on Banner.
- Provides assistance to the faculty members in the Aviation department simultaneously: Proctor Exams, copy exams, approve timesheets, process all authority to travels and travel vouchers. Send student reminders and guest speakers, disseminate information to students, liaison between faculty and students, type correspondents, send emails and make and receive phone calls. Order text books for classes. Request faculty evaluation.
- Coordinates and operates office in the Aviation program. Answer and make calls, transfer calls to designated faculty member. Types departmental documents for both offices. Complete and process workload Reports for both departments, attend meetings and participate in project planning, manage calendars, take and write minutes, maintain bulletin boards, departmental budget monitoring and flight budget, complete requisitions, process invoices, schedule departmental meetings, maintain files, maintain student contact information, assist with graduating student packets, handle student’s complaints and direct to appropriate authority. Conducts faculty evaluations, provide student advising, order supplies for departments, conducts yearly Equipment Inventory, provide Lab maintenance, attends scheduled trainings, assists with the coordination of Summer programs, types and processes contracts, deliver documents to other departments, work closely with the budget office in completing budget transfers and deposits, work closely with the Accounts payable department, Purchasing department, Human Resources, financial aid office, Registrar’s office, Provost Office. Assist with order food for meetings and conferences, produce departmental brochures and fliers, receive and send faxes, scan documents, give information to callers on flight concentration and management concentration.
- Supervises graduate and undergraduate students: providing training, and generate workload for them. Approve their timesheets

High School diploma or G.E.D. or equivalent and specialized or technical training.
