The Administrative Assistant provide administrative support to the administrative team and the Finance and Accounting Coordinator. This position attend to visitors and deal with inquiries on he phone and face to face, undertaking clerical tasks as typing, filling, and basic bookkeeping, as well as processing invoices from multiple vendors and reconciling purchasing orders.

Essential Functions:

1. Performs clerical tasks of a confidential nature including but not limited to producing letters, reports, and memorandums.

2. Answers telephone calls, takes messages and answers inquiries within assigned scope of responsibility.

3. Schedules appointment and meetings as requested by the administrative team.

4. Distributes mail.

5. Orders, distributes, and keeps inventory of office supplies.

6. Checks figures, postings, and documents for correct accounting entry, mathematical accuracy and proper codes.

7. Reviews of debits, credits and other accounting transactions reported on the databases using the specialized accounting software and student records software.

8. Applies the full cycle accounting, reconciliations, and journal entries as required.

9. Compiles data, computes fees and charges and prepares invoices for billing purposes.

10. Communicates in a professional and effective manner with staff, students, and co-workers.

11. Follow other duties as assigned.

Knowledge, Skills, and Abilities

1. Experience with Enterprise QuickBooks (2100)

2. Proficiency in Microsoft Office: Advance Level

3. Previous experience in education accounting and bookkeeping, preferred

4. Excellent written and verbal communication skills.

5. Customer service skills necessary to work with external and internal customers.

6. Bilingual: English and Spanish required

Position Requirements:

  • Minimum of a Bachelor Degree with a concentration in Business or Accounting
  • 2+ years of experience as a bookkeeper.

Job Type: Full-time

Schedule:

  • 8 hour shift
