Position: Administrative Assistant - Japanese Bilingual
Location: Dallas, TX (Hybrid. In office 3 days a week)
Salary: $55-60K+Bonus
FLSA: Full-time, Non-Exempt
Summary:
Responsible for providing administrative support to the SVP & General Manager and Business department leaders of the division. Assures that all assigned projects are completed in a timely and efficient manner and follow-up is done on all administrative details. Duties include activities such as drafting correspondence, travel arrangements, taking dictation and scheduling appointments. It is also very important that the individual takes initiative and collaborates with all members within the division.
Key Responsibility Areas:
- Coordinates travel arrangements including flights, cars, hotels and other reservations, and settles these expenses utilizing the Concur System for SVP & General Manager.
- Completes internal applications and documents for the investment committee, group loans, and Board of Director member changes. Understands rules of governance and management authority to compile applications according to internal processes.
- Tracks and processes invoices for the division utilizing SAP (Accounts Receivable and Accounts Payable).
- Assists during the budgeting process with SAP.
- Coordinates and maintains the efficient operation of the division by maintaining confidential and general files, manuals, and internal electronic filings.
- Confirms and arranges upcoming meetings.
- Manages calendars including scheduling appointments, confirming meetings, and coordinating with other Assistants.
- Assists in daily business of managers which includes general office work, answering phones, sorting and distributing mail.
- Purchases office supplies.
- Prepares all technical devices and business card for new employees.
- Creates monthly financial reports and submits them to HQ office in Tokyo in a timely manners.
- Arranges annual conference and coordinates meetings with HQ office and other branches.
- Books Purchase Order and Sales Order for Cement trading.
- Monitors email correspondence, alerts professionals of any urgent issues.
- Performs other duties as assigned.
Qualifications:
- Associate degree or higher preferred.
- 3-5 years of experience within a professional administrative capacity.
- Bilingual in English and Japanese required.
- Proficient in Hyperion and SAP; 1-2 years of experience using SAP for Accounts Payable/Receivable.
- Ability to work independently with minimal supervision.
- Highly proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Must be organized, strong attention to detail and sensitive to deadlines.
- Must work well under pressure, handle interruptions, and adjust priorities as needed.
- Experience working for an international organization is a plus.
