The Admin Assistant at Molin supports the sales team in executing the important behind-the-scenes administrative functions that keep the venue functioning efficiently. Without this critical role, our efforts to provide best-in-class service would be impossible.

Essential Job Duties:

  • Maintain, create, and run multiple reports (Weekly, quarterly, yearly as well as other requested reports) as required by sales/estimating.
  • Set up commercial and residential jobs.
  • Update internal systems with required product changes and internal/external contacts.
  • Document and Update Sage/Timberline, Salesforce, and Eliplan Databases with all change orders
  • Process all job cancellations as needed.
  • Close out projects such as lost bids, expired bids, jobs, etc.
  • Backup to Receptionist including answering phones, greeting customers, daily tasks.
  • Additional duties as assigned by the V.P of Sales & Marketing

Knowledge, Skills & Abilities:

  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office suite (Word, Excel, Access, and Outlook)
  • Experience in Salesforce, Sage, EliPlan, Adobe and/or Bluebeam desired but not required.
  • Ability to comprehend contracts.
  • Outstanding customer service skills
  • Team player, Dependable
  • Strong organizational abilities
  • Time management
  • Ability to prioritize in a fast-paced environment.
  • Initiative and problem-solving skills

Availability: Monday- Friday (regular business hours, 40/hours a week)


Admin Assistants have to be great multi-taskers, great communicators and great team players. They are responsible for supporting the sales team in a variety of ways including management of new or updated information for Molin projects, completing administrative duties as outlined by the VP of Sales, backing up for the receptionist as well as other miscellaneous tasks that may be necessary to support the sales processes.
