Administrative Assistant for Growing Communications Firm – Work from Home
Perfect position for an experienced assistant who loves keeping people and projects organized and on track. If you’re gifted at helping a fast-moving team stay organized and pulling data into client-friendly reports, you might do well in this role.
McCarthy Messaging is a strategic communications firm with a niche in healthcare messaging. Based (virtually) in Denver, we create competitive advantage for high-performing healthcare organizations by helping them nail their message. Our other core competencies are content generation and media relations.
The Administrative Assistant will serve as the “right hand” to our Account Directors. The primary responsibilities of this position will be driving, managing and compiling our monthly media-hit reports for multiple clients, using Cision® reporting software; monitoring our paid media submission deadlines; overseeing and improving upon the organizational structure of electronic file storage and other systems used to support client work.
How you will spend your time:
  • Pulling Cision data on media hits throughout the month, including links to coverage, number of impressions, and PR (ad equivalency) value. Compile data into attractive client-facing reports, shared monthly with 5-10 distinct client accounts.
  • Serving as backup in capturing broadcast coverage using our TVEyes account. Primary responsibility for this function lies with our media relations specialists, but you will support during vacations and emergencies.
  • Assisting our Account Directors in monitoring and driving the deadlines, deliverables, and teamwork necessary to meet numerous content deadlines related to paid media campaigns. Interface with our contacts at media outlets as necessary.
  • Creating a system to maintain organization of our client work files. Monitoring file storage on a weekly basis to ensure that file-naming and file-storage systems are followed by team members. Training new team members on these systems.
  • Assessing cross-market/cross-client operations and recommending ways our firm could function more efficiently and effectively in serving media relations accounts.
Position requirements:
  • Tech savvy; comfortable with and quick at learning new platforms. Experience with Cision media-tracking software a huge plus.
  • High level of proficiency with Excel and other Microsoft applications.
  • Fast-moving but careful, accurate, precise.
  • Proven organizational skills.
  • Thrives on being part of a team.
  • Previous experience in a supporting role at a PR agency or corporate media relations department is a plus.
