Position: Administrative Assistant
Locations: Santa Fe Springs
Salary: $20.30 to $23.50 (hourly) Depending on education, experience, skillset and hiring site.
Summary: Under the direct supervision of the Program Manager, the Administrative Assistant performs a number of duties, including greeting and scheduling patients/visitors for services. Answer incoming, and conduct outbound calls to patients and vendors. Assist with billing, and quality assurance. The Administrative Assistant will administer UA (Urinalysis) test to patients.
Essential Job Functions:
- Greet and welcome patients & visitors;
- Screen and direct incoming calls accordingly;
- Conduct outbound calls to patients, other sites, third parties, etc., related to daily operations and scheduling
- Filing, faxing, and copying;
- Work collaboratively with administration team, management and direct support staff,
- Manage information flow in a timely and accurate manger
- Manage calendars for management and direct service providers;
- Assist with coordinating events
- Maintain office supply and amenities throughout the day
- Format information for internal and external communication – memos, emails, presentations, reports
- Collect, organize and prompt deadlines for all short and long term projects
- Take, organize and maintain meeting minutes
- Adhere to HIPAA guidelines and regulations
- Administer, collect and ship UA samples.
- Other duties as assigned by direct supervisor
Qualifications:
- Minimum of 2-years’ experience of administrative duties in a medical setting
- Advance in Excel and all Microsoft programs
- Advance verbal and written communications skills
- Discretion and confidentiality
- Outstanding organizational and time management skills
- California driver’s license and insurability;
- Bilingual English/Spanish (preferred);
- Self-motivator and able to meet deadlines
- Valid California Driver’s License and proof of personal auto insurance is required. Hire is contingent upon agency insurability;
Education:
- High School Diploma or GED (required).
Must be able to pass the following pre-employment screenings:
- Background check, including criminal history (LA CADA considers all applicants equally and will take into account each applicant’s individual life circumstances).
- Drug and health screen, including negative TB test
- Employment and education verification
