Position Summary: Facilitate the efficient operations of the front office by performing a variety of clerical and administrative and fund development duties.
Hours: 8:30 am-5:30 pm Monday-Friday
Reports to: Events and Volunteer Manager

Starting Salary: $15.00 hr. Depending upon education and experience
Essential Duties:
Administrative Duties:
· Works closely with Administrative Assistant Senior in coordinating all front office procedures.
· Courteously greet and assist incoming callers and visitors to La Casa, Inc.
· Troubleshoot issues and resolve at the front desk, provide general information on programs and services, screen calls or requests then direct to appropriate person if unable to resolve.
· Schedule appointments for clients of La Casa, Inc. and notify staff of client cancellation or reschedule appointments.
· Check clients in for appointments; verify or collect current confidentiality agreement, notify staff and provide required paperwork.
· Assist clients with faxing paperwork.
· Work with donors either in person, by phone or by email.
· Collect donations, monetary and new or gently used items, issue donation receipts.
· Determine whether payments are donations or other payments and channel and record accurately.
· Thank donors before they leave the front desk.
· Enter and maintain donor information into fundraising database program.
· Generate thank you letters for all monetary and in-kind donations received.
· Assist in receiving and unloading donations of clothing, household and other items as assigned.
· Provide potential volunteers with application forms and describe volunteer opportunities to person interested.
· Generate confidential receipts for rent paying clients.
· Accept, sort and distribute incoming mail for staff and residents.
· Provide administrative support to generate letters, spreadsheets, and special projects as assigned.
· Work with Administrative Assistant Senior to continuously monitor surveillance cameras and call codes when necessary to ensure staff, residents, and public safety.
· Maintain inventory of brochures, service assessment and client packets, referral forms and restraining order forms.
· Keep front office and reception area clean and organized.
· Secure and maintain documents and monetary payments in confidential location at all times.
· Maintain a professional office; discourage personal conversations and ensure that staff do not linger.
Training:
· Attend staff meetings and in-service trainings.
· Ongoing professional development including keeping abreast of recent trends and developments regarding domestic violence and advocacy as they pertain to the clients served by La Casa.
· Attend seminars and trainings approved by supervisor.
Additional Duties:
· Provide administrative support to HR; tasks include but are not limited to, maintain files, schedule appointments and interviews, generate letters and other correspondence.
· Other duties as assigned.

- Assist donors with unloading items into carts and pushing carts to outside donations area when needed.
- Pick up bags or boxes of donations from outside front area or lobby area to maintain clear paths.

Qualifications:
· Education: High School Diploma or equivalent.
· Experience: A minimum of one (1) year full-time (can be volunteer or paid) experience in an administrative position providing customer service to the public in person and on the phone. Must be proficient with computer word processing and spreadsheet programs and phone systems.
· Substitution of education/experience: NONE
· Language: Bilingual in Spanish/English preferred.
· Work Environment: Work performed majority of time indoors in office setting; temperature-controlled environment. When working outdoors unloading and placing donated materials, subject to weather conditions and uneven surfaces. Light lifting up to 25 lbs. regularly.
· Other: Post-offer drug/alcohol screen, TB test and background check. Current CPR Certification.
· Warm, empathic, and non-judgmental with demonstrated ability to maintain healthy boundaries with clients and staff.
