Administrative and Personal Assistant to the Program Director. This position will report directly to the Program Director and be responsible for providing administrative support for the Program Director in functions related to the administration of the program, daily program activities, organizational development and support, and other support roles that assist the Program Director in completing his/her task more efficiently and effectively.

Responsibilities will include:

  • Organizational support and design - Assist in development and maintaining a system for filing /storing information and documents.
  • Assist Program Director in developing IT skills needed to access and create electronic file systems.
  • Scheduling, planning and coordination of all Program Director recurring activities such as faculty meetings, Clinical Competency Committee meetings, Program Evaluation Committee meetings, Semi-Annuals Evaluation meetings, and Graduate Medical Education Committee meetings
  • Schedule appts and maintain calendar using various tools including Lightning Bolt.
  • Assist Program Director in communications such as emails, preparing reports, note taking, and scheduling meetings.
  • Help develop and support evaluation and promotion processes through use of new eval templates, communication with faculty and attendings to insure evals are relevant, effective, meaningful, and useful in decision making regarding resident matriculation to independent practice.
  • Assist Program Director in developing a program checklist for all important programmatic activities with metrics, and timeline for anticipated future ACGME site visit.
  • Help Program Director develop an effective system for completing, monitoring, and documenting faculty evaluations, faculty development, faculty workloads.
  • Prepare presentations for lectures, Board meetings, community presentations, other. Prepare speeches.
  • Assist in completing med student evals, request for LOR, resident semi-annuals.
  • Clinical Coordination of patients of Program Director.
  • Assists faculty as directed by Program Director.
  • Assists with academic half day as needed.
  • Assist with cards and letters of correspondence for staff, faculty, attendings, admin, patients, residents, applicants, other.
Minimum Requirements

Qualifications:

  • Minimum Associates degree (Bachelor’s degree preferred)
  • Must be a well-organized, self-starter with high degree of professionalism.
  • Must possess exceptional verbal and written communication skills.
