POSITION SUMMARY
The primary function of this position is to provide administrative support to the Distribution Center, handling billing, filing, accounts receivables/payables, answering telephones, and assisting the sales staff with taking orders as needed. This position also handles the ordering of office supplies, ordering literature and samples, and handling maintenance issues for building and office equipment.

ESSENTIAL FUNCTIONS
  • Compose correspondence, memoranda, emails or other materials independently or based upon oral instructions. Design and maintain all internal office forms
  • Answer and direct phone calls to the appropriate person
  • Open, read, route and distribute incoming mail or other materials including scanning and making copies of correspondence or other printed material
  • Prepare and ship all outgoing mail and UPS shipments
  • Monitor and order office supplies
  • Schedule maintenance as needed for office equipment and building issues
  • Provide Human Resource support within the Distribution Center, processing paperwork for new hires, and entering payroll information for hourly employees
  • Responsible for travel arrangements, expense report processing, and scheduling of meetings, conferences, and webinars
  • Set up and maintain paper and electronic filing system for records, correspondence, orders and other files, including material of a sensitive and confidential nature
  • Receive and enter orders, transfers and credits into internal computer system
  • Update catalog pricing and assemble catalogs for customers
  • Calculate and submit monthly rebates to suppliers and/or vendors
  • Manage open orders and purchase orders, processing invoices and billing and providing proof of delivery or invoice/order acknowledgements as needed
  • Balance petty cash, process incoming checks and credit card payments, and complete deposits
  • Provide customer service to will-call customers, including entering orders and processing COD payments
  • Maintain follow-up/reminder system to insure timely completion of projects
  • Able to lift up to 20 pounds and occasionally lift and/or move 40 pounds
  • May be required to provide basic quotes and enter orders as backup to sales team
  • Check receiving paperwork against the bill of ladings and sign off on driver’s paperwork on every delivery
  • Monitor PeopleNet system in commercial motor vehicles and run all necessary reports. Maintain truck maintenance files
  • Maintain safety incident files, meeting information, and Distribution Center safety initiative documentation
QUALIFICATIONS
  • Minimum of an Associates Degree in a related field preferred
  • 2 - 3 years of administrative, clerical, or office experience
  • Basic to intermediate skills in Microsoft Word and Excel
  • Superior organization and administrative skills with the ability to multi-task and an attention to detail
REQUIREMENTS
  • Ability to pass drug test and background verifications
  • Must be at least 18 years of age
  • Must have a valid Driver’s License and an acceptable driving record
