Summary
Provides department clerical and administrative support to professional and management staff for our Falls Church office.
Essential Functions
- Researches data and composes monthly reports associated with subcontracting program requirements.
- Assist with tracking of Small/Disadvantaged Business participation.
- Organizes and maintains department filing system for easy onsite storage.
- Assist with organizing industry outreach events.
- Assist with planning internal company events and outings.
- Provide backup coverage to Purchasing Administrator when needed.
- Provide backup to Executive Admin as needed.
- May manage phone systems and phone equipment upgrades.
- Maintains department filing codes for archiving.
- Handles incoming and outgoing department mail, travel arrangements, conference registrations, office equipment and supplies.
- Coordinates and participates in department meetings;
- May review department contracts and prepare for authorization signature; keep logs for contracts and change orders signed by Vice President.
- May maintain Crisis Management Plan manual for the office.
- May review department occupational licenses for renewal.
- Assists department in preparing and coordinating proposals, manuals, presentations.
- Provides reception back up coverage as needed.
- Maintains confidentiality with sensitive or proprietary information on behalf of managers/executives.

Working Conditions
The majority of work is completed in an office setting.
Education, Experience and Knowledge
- High school diploma required (Associate s degree a plus) and 2-4 years experience in a general/clerical office setting; commercial construction industry experience.
- Uses time effectively based on key priorities; accepts direction from more than one person at a time and oversees multiple tasks.
- Communicates well and create effective customer-focused relationships with all organization levels.
- Able to write clearly and concisely in a variety of communication settings.
- Makes decisions under tight deadlines with composure.
- Acts in a manner of integrity that shows support for the company, its values, and the employees, while maintaining constant focus on meeting/exceeding customer requirements.
- Strong computer skills in word processing, spreadsheet, scanning, database and presentation software. Demonstrates proficiency using a personal computer (PC) and company communication tools, such as email, internet, and Microsoft products (e.g., Word, Excel, Office, Outlook).
