LOCATION: Asheville, NC / Remote


SALARY:
Depending on qualifications & experience of candidate. This position is non-exempt and is eligible for overtime compensation.


GENERAL STATEMENT OF JOB:

The Compliance Administrative Support Professional works under the direct supervision of the Vice President of Compliance. This position provides coordination of all administrative activities and support to the Vice President of Compliance. This position also provides ad hoc support to the Vice President of Regulatory Affairs and External Review and Delegation Oversight Director.

Note: This position requires access to and use of confidential healthcare information or protected health information (PHI) as described in laws addressing patient confidentiality, including, but not limited to, the federal HIPAA law, the Confidentiality of Alcohol and Substance Abuse Patient Records law, 42 CFR Part 2, and various state laws. As such, the individual filling this position shall be required to be trained regarding such laws and shall be required to observe those laws in his/her capacity as an employee of Vaya Health. The individual filling this position shall also sign a confidentiality statement as an employee of Vaya Health.


ESSENTIAL JOB FUNCTIONS:

General Administrative Support to the Vice President of Compliance: Provides direct support to the VP of Compliance in the areas of calendar maintenance, scheduling and coordination of meetings, email, and document management. Coordinates Compliance Team meetings and/or events, including logistics such as room reservations, catering, etc. Plans, schedules, and prepares required documentation for Regulatory Compliance Committee meetings, including agenda, minutes, provider correspondence, tracks action items and files essential documentation. Creates purchase requisitions, prepares invoices for processing, and generates reports to track budget compliance. Assists with the onboarding of new employees. Prepares documents, presentations, and spreadsheets, as required. Work in partnership with other Administrative Support Professionals on activities for stakeholders and external partners, as required. Assist with special projects as needed. Also assists with travel planning and the submission of final travel forms for signature.

External Review and Delegation Oversight Backup Support: Provides direct support to the External Review and Delegation Oversight Director in the areas of scheduling and coordinating meetings, setting up folders in SharePoint, creating documents, such as agendas, in preparation for the External Quality Review and other audits. Schedules conference rooms, technology support and catering for the External Quality Review and other audits.

Regulatory Affairs Backup Support: Provides ad hoc support to the Vice President of Regulatory Affairs in the areas of Contract Mailbox emails and document management.


QUALIFICATIONS & EDUCATION REQUIREMENTS:

An Associate's Degree in Business Administration is required with at least two years of administrative experience in an executive setting.


KNOWLEDGE, SKILL & ABILITIES:

  • Thorough knowledge of standard office practices, procedures, equipment, and office assistance techniques; business English, grammar, spelling.
  • Excellent written and oral communication skills, ability to work independently with little or no direction, self-starter.
  • Ability to prepare effective correspondence, draft letters on routine matters and perform routine office management details without assistance of supervisor.
  • Extensive knowledge and intermediate to advanced proficiency in Microsoft Office products (Word, Excel, Outlook, PowerPoint, Teams etc.).
  • Ability to establish appropriate and respectful relationships/partnerships with persons with a wide range of ethnicities and abilities.
  • Ability to interact professionally and effectively with persons of all backgrounds.
  • Ability to establish and maintain effective working relationships, to work as a team member and to take direction.
  • Ability to adapt to frequent and unexpected change.


LOCATION REQUIREMENT:

This person IS NOT required to reside in North Carolina.
