As an Administrative & Accounts Payable Specialist, you will be responsible for creating a positive first impression for clients and guests and providing Accounts Payable support to the Universal Bookkeeper team. This role also includes being the lead client support during tax season and assisting the UB team throughout the tax preparation process. The Administrative & Accounts Payable Specialist at Universal Bookkeeper, Inc. will have a wide range of responsibilities that are essential for maintaining a positive and efficient workflow. These responsibilities include:

  • Providing an exceptional level of customer service to both clients and team members to enhance our relationships
  • Ensuring a positive impression of the firm to all clients and guests
  • Directing phone calls to appropriate team members and providing accurate and meaningful messages when team members are not readily available
  • Managing and maintaining clients' payroll records, including providing support for DIY payroll clients
  • Preparing payroll, 401K, and tax audits
  • Processing invoices and payments through Bill.com and QuickBooks Online, researching statement balances and coordination with vendors on efficient payment processing channels
  • Identifying and implementing new and innovative procedures to streamline accounting operations internally and externally for clients, promoting professional growth
  • Assisting the UB team with tax season preparation and organizing client documentation in the most efficient manner
  • Supporting Tax Clients to ensure all tax documents and required information are received prior to assigning to the Tax Preparer
  • Supporting the UB team and Tax Clients with the completion of tax preparation
  • Providing marketing support to management and assisting with social media content that can be shared on UB social media channels
  • Performing additional accounting-related tasks as needed
  • Participating in team building initiatives that support our community.

To be considered for the Administrative & Accounts Payable Specialist position at Universal Bookkeeper, Inc., job seekers must meet the following minimum qualifications:

  • A minimum of 1 year of experience in Accounts Payable or Bookkeeping is preferred
  • A minimum of an Associates Degree in Accounting/Business related field is required
  • QuickBooks Online experience is preferred
  • General knowledge of accounting practices and business procedures
  • Strong written and verbal communication skills that support a professional environment
  • High level of accuracy and attention to detail is a must, as well as a track record of reliability, confidentiality, and conscientious work habits
  • Proficient in Microsoft Office and Microsoft Excel
  • Strong organizational and prioritization skills
  • Effective analytical and problem-solving skills
  • Excellent time management skills with the ability to multitask, prioritize, and meet deadlines
  • Ability to adapt and work efficiently in a rapidly changing dynamic environment with deadline pressures.
