About the opportunity:

The Accounts Payable Specialist works with all facets of the accounts payable system, principally the validation, processing, and filing of invoices. The specialist must make sure that all invoices are accurate and have been properly documented and approved by the authorizing employee prior to making a payment. Once the proper verifications and authorizations are received, the specialist is responsible for submitting payments in a timely fashion. This position also requires preparing and mailing checks, as well as verifying and procuring W-9 forms from vendors. The specialist also maintains files for all invoices, accounts payable payments, and tax information for vendors.

What are some of the responsibilities of an Accounts Payable Specialist?

  • Process invoices for multiple entities which includes the matching of vendor invoices to PO’s.
  • Communicate with property managers and vendors regarding invoices without PO’s and resolve discrepancies between PO’s and invoices.
  • Process expense reimbursements, check requests, and resident final account statements for payment.
  • Process invoices for payments by selecting invoices and then printing and mailing checks.
  • Reconcile vendor statements
  • Ensure accurate and timely invoice posting and payment processing using the Real Page/One Site Accounts Payable System.
  • Ensure proper and consistent compliance with Prime Group Accounts Payable policies and procedures.
  • Respond to internal and external vendor inquiries including vendor statement reconciliation.
  • Responsible for coding and batching invoices, weekly check runs, processing expense reports, and maintaining positive vendor relations.
  • Monitor daily, weekly, or monthly control reports such as the PO Non-Compliance Report, Open PO Reconciliation, Utility Invoices Received Report, Utility Deposits, and Vendor Aging with explanations for those over 60 days.
  • Analyzing and resolving discrepancies found in existing vendor accounts.
  • Review and approve utility invoices and resolve utility notices and Velocity/Conservice issues.
  • Assist in the preparation of schedules and gathering of information as required for audits that occur throughout the year and other duties as assigned.
  • Pick up and distribute all inter-company mail for all corporate departments.
  • Maintain vendor W9 forms and insurance certificates in the folder on Network.
  • Other projects as required by management.

Requirements:

  • Two plus years of experience in a similar role
  • Experience with multi-family properties is a plus
  • A college degree is preferred
