Overview:

The Accounts Payable Administrator is responsible for assisting the Manager, Business Operations Finance, in meeting goals and deadlines set forth for the Accounts Payable Group. This position requires excellent organizational, communication and interpersonal skills. A working knowledge of office processes and related computer software and electronic communications tools is essential, as is the ability to communicate with all levels of staff.

Responsibilities:
  • Set up new vendors and verify that all information received is complete and accurate.
  • Scan and code invoices in a timely and accurate manner, ensuring that the proper workflow is selected for invoice approval.
  • Ensure Real Estate Tax bills are processed and mailed in a timely basis and Real Estate Tax bill tracker is updated weekly.
  • Post all approved invoices on a weekly basis in accordance with the Corporate and Property schedules, commit invoices for payment, run weekly commit report and pull necessary backup in a timely manner.
  • Process the weekly check run, EFT file and manual checks.
  • Assist with the weekly check run reconciliation.
  • Process weekly funding package.
  • Assist vendors with invoice and payment inquiries.
  • Maintain communication with corporate personnel and regional staff, including inquiries on payment status, and questions on invoice coding.
  • Assist in providing copies of cancelled checks, invoices, and other relevant reports out of Yardi Payscan to auditors and other individuals within the organization.
  • Assist with the administration of our automated expense reporting system, Expense Anywhere, including setup of new employees, exporting and reporting inquiries, and additional tasks as needed.
  • Assist with voids, stop payments, check re-issue when needed and work on resolving stale-dated checks on a monthly basis.
  • Assist with creating and maintaining desk procedures.
  • Training new users on roles/responsibilities and reporting capability within Payscan.
  • Resolving any Posi-Pay issues with PNC Bank.
  • Assist with 1099 Preparation.
  • Perform special projects as needed.
Qualifications:
  • A Bachelor’s Degree or equivalent job experience.
  • One year of accounts payable experience required.
  • Ability to work in a fast paced environment, with the ability to multitask and meet deadlines.
  • Must be a team oriented, problem solver.
  • Strong communication skills, both verbal and written, are essential.
  • Strong attention to detail and solid analytical skills a must.
  • Ability to review own work for quality and completeness will be a key to success.
  • Proficiency with computerized accounting software (Yardi preferred) as well as Microsoft Excel and Word.
  • Ability to collaborate with internal and external teams.
