We are currently recruiting for a Accounts Payable Administrative Assistant. The Accounts Payable Administrative Assistant works with internal accounting groups and departments throughout the organization to support accounting processes and workflows. This includes backing up the cashier and receptionist, as well as assisting the Accounts Payable team.
Essential Duties & Responsibilities:

  • Manage payables group email by addressing vendor inquiries which may include information on payment status, requests for copies of resale certificate and other A/P related issues. Responsible for forwarding emails to appropriate A/P person as needed.
  • Distribute heavy volume of emailed invoices from payables to corresponding A/P Specialist.
  • Print and distribute EDI invoices / credits from Solar software.
  • Process weekly check runs. This includes a review of the check preview, print checks and check register, stuff envelopes, apply postage and drop off checks at post office.
  • Reconcile heavy volume of vendor statements. Request any missing invoices and / or credit memos.
  • Process freight charges on customer orders per the internal notes on vendor purchase order. Important to pay close attention to instructions from writer of PO/SO.
  • Cover cashier as needed. This includes taking customer payments by credit card, cash or checks and applying payment to order. Also, update and reprint sales tickets as needed.
  • Cover receptionist as needed. Includes answering phones and forwarding calls to employees with a professional manner and attitude. Responsible for opening mail and distributing to appropriate person.

Education & *Experience: * High School Diploma or equivalent. Minimum three years in computer accounting environment. Experienced in all phases of cash receipts and customer billing
Language Skills: Ability to read and interpret documents and writes routine correspondence. Ability to speak effectively with customers/vendors or other employees.
Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situation.
Computer Skills: Knowledge of Eclipse software, Microsoft Excel and Microsoft Word. Ability to type at least 40 wpm. 10 key proficient.

Job Type: Full-time

Pay: $22.00 - $24.00 per hour
